From a phone snapshot to a record you can send
After an opening, the details of a work live in three places at once: a photo on someone's phone, a note with the dimensions and a price buried in an email thread. Gallerists puts them in one record and builds everything a collector needs to see.

- An offer PDF with your gallery branding in one click
- No record of who saw what
- View tracking on every offer and viewing room
What one upload powers
Enter a work once. Every document and page that follows reads the same record, so a price change or a new status shows up everywhere at once.
Read the full walkthrough in gallery management software, or go straight to art inventory software, online viewing rooms and art availability list template.
| Output | What you get |
|---|---|
| Artwork record | The tombstone line in gallery format, the catalog description, palette, tags, location and status |
| Offer PDF | A branded availability list or single work offer, ready to attach to an email |
| Online viewing room | A private link for collectors who cannot visit, with a record of who opened it |
| Collector CRM entry | Who received the offer, who asked about the work and what they bought before |
| Invoice line | Price, tax and shipping on the invoice when the work sells |
| Public exhibition page | Your current show on the city and fair pages collectors read in the guide |
Built for the weeks that keep a gallery busy
Sending offers after an opening
The day after an opening, the inquiries arrive all at once. Pick the works, choose the collector and send a branded PDF or a viewing room link in minutes. Gallerists records who received what, so the follow up a week later starts from facts, not memory.
Preparing an art fair booth
Build the booth list from inventory, mark holds with an expiry date and open a viewing room for collectors who cannot travel. After the fair, every conversation is already in the art gallery CRM. See art fair booth management.
Managing consignments
Consigned works carry their terms, the artist's share and their location. Artist statements and sales reports come from the same records, so there is no separate spreadsheet to keep. See art consignment software.
Running a private sales desk
Art advisors and independent dealers keep consigned works, offers and invoices in one place, without a full gallery staff behind them. See art collection management software.
Being found by collectors
Your public profile and current exhibition appear on the Gallerists city and fair guides, the pages collectors read when they plan a visit. See list your art gallery.

Why gallery directors switch to one system
The decision usually comes down to four things: time, memory, money and control. Check each one against your own numbers.
Time per offer. If a PDF takes 20 minutes to rebuild by hand and your team sends 30 a week, that is 10 hours a week. In Gallerists the offer comes from the record you already have.
Collector history that stays. Notes, offers and purchases sit on the collector record, not in one person's inbox, so a staff change does not take relationships with it.
One bill instead of four tools. Inventory, PDFs, viewing rooms and a listing in a collector guide run on one subscription.
Roles and permissions. Sales, registrar and viewer roles decide who sees prices, who edits records and who can send offers.

Your inventory and your data stay yours

A public guide that brings collectors to your show
Collectors plan their visits by city, district and art fair. Gallerists publishes guides to galleries in New York, Los Angeles, Chicago, Miami and San Francisco, and to the major US art fairs. When your gallery joins, its profile and current exhibition appear on the pages for your city, where collectors are already looking.

Questions galleries ask before they start
Read all questions
Can we move our inventory from spreadsheets or another database?
Yes. Import works, artists and collectors from a CSV file. Most gallery databases and spreadsheets export to CSV, and Gallerists maps the columns to its fields before anything is saved.
What do collectors see?
Collectors see only what you send or publish: an offer PDF, a viewing room link or your public profile and current exhibition in the guide. Inventory, prices you have not shared and collector notes stay private.
Who owns the data?
Your gallery does. You can export everything as CSV at any time, on every plan, and you keep that export after you cancel.
Is pricing per user or per gallery?
Per gallery. Each plan includes a number of users: 1 on Studio, 5 on Gallery, 20 on Program and 100 on Enterprise.
Can our artists see their consignments?
On the Program and Enterprise plans, consigned artists get a portal with their works, statements and sales.
What happens when we reach a plan limit?
Your records stay as they are, and creating more of that item waits until the next billing period or a higher plan. Usage is counted for the billing period, so deleting a record does not give the limit back.
Can we cancel, and do you give refunds?
You can cancel any time in your account, and you keep access until the end of the period you paid for. Payments are final, as described in the refund policy.
Is the AI catalog description editable?
Always. The description is a starting draft that you edit, approve and keep. Nothing is published or sent without your review.
Upload a work and see the record
One photo is enough to see the record, the offer page and the PDF your collectors would receive.
